Privacy Policy

InspectClan ("we") provides vehicle inspection software to trucking and fleet companies ("your company"): the InspectClan iPhone, iPad and Android apps and the web console. This policy explains what we collect, why, how long we keep it and how to delete it. Questions: support@inspectclan.com.
Who controls your data
Your company decides who joins its account and uses InspectClan to keep its inspection records. For those records we act on your company's behalf. For your sign-in account, we are responsible.
What we collect
| Data | Examples | Why |
|---|---|---|
| Account | Email address, name, password (stored only as a secure hash by our sign-in provider), profile photo if you add one | To sign you in and show who did what |
| Company | Company name, USDOT number, logo, members and their roles | To run your company's account |
| Inspection records | Vehicles (VIN, plate, names), checklist answers, notes, photos and short videos of defects, signatures, odometer, times, repair certifications, roadside findings, documents you upload | The DVIR records your company is required to keep |
| Device | A push notification token for your phone | To send you notifications you can turn off in your phone's settings |
| Usage data (only if your company turns it on) | Which screens and features are used, app version — never your inspection content, names or VINs | To improve the app |
We do not collect your location, contacts or phone number, and we do not track you across other companies' apps or websites. We do not sell personal data or use it for advertising.
Camera, microphone and speech recognition are used only when you choose to: the camera for photos, videos and VIN scanning; the microphone and your phone's speech recognition (provided by Apple or Google) to turn spoken notes and commands into text. We don't store the audio.
Where it is stored and who processes it
Data is stored on Amazon Web Services in the United States (us-east-1), encrypted in transit and at rest. Our processors: Amazon Web Services (hosting, sign-in, email), Apple and Google (push notifications, speech recognition on your phone), and, when your company pays online, our payment provider, which handles card and bank details — we never see or store them.
How long we keep it
- Inspection records (inspections, defects, photos, videos, signatures, findings): 90 days, then deleted automatically. FMCSA §396.11 requires carriers to keep DVIRs for 3 months.
- Vehicles your company deletes: kept read-only for 90 days, then deleted with their records — or right away if your company's owner frees the slot early.
- Your account: until you delete it. A driver's or fleet manager's account is deactivated when they delete it and deleted for good 30 days later (or sooner, by the company's owner).
- A closed company (its owner deleted their account): deleted 90 days after it closes.
Deleting your account
In the app or the web console: Profile → Delete account. If you're a driver or fleet manager, your account is deactivated at once — you're signed out on every device and can't sign in — and your sign-in, profile photo and notifications are deleted 30 days later; your company's owner can delete it sooner. If you own the company, your account is deleted at once, the company closes and everything is deleted after 90 days. Either way, inspections you recorded stay with your company until their 90 days end, because they are your company's legal records. See Delete your account, or email support@inspectclan.com.
Your rights
You can see and correct your account details in the app, download your company's records from the web console (owners and fleet managers), and ask us to access, correct or delete your personal data at support@inspectclan.com. Residents of California and other states with privacy laws have these rights too; we don't sell or share personal data as those laws define it.
Children
InspectClan is a business service for commercial fleets and isn't meant for anyone under 18.
Changes
We'll post changes here and update the date above; for significant changes we'll tell your company's owner by email or in the app.
